PbPilot Privacy Policy

This Privacy Policy explains how PbPilot ("Company," "we," "us," or "our") collects, uses, stores, and protects information related to your use of the PbPilot platform ("Platform"). By accessing or using the Platform, you consent to the data practices described in this Privacy Policy.
1. Information We Collect
a. Account Information
When you create an account, we collect information necessary to provide and manage your access to the Platform, including:
Name, email address, and contact information
Company or organization name (if applicable)
Professional license information (license number, state of issuance, expiration date)
Billing and payment information (processed through third-party payment providers)
b. User-Provided Inspection Data
During your use of the Platform, you may enter or upload data related to your inspection activities, including:
Property and unit information
Inspection observations, measurements, and testing data
Laboratory results (including XRF readings and paint chip analysis results)
Photographs and supporting documentation
Report content generated, edited, and approved by you
c. Platform Usage and Analytics Data
To continuously improve the Platform and understand how our tools are being used, PbPilot automatically collects operational and performance metrics, including but not limited to:
Number of inspections initiated, completed, and submitted
Time per inspection and time per report (from creation to finalization)
Feature usage patterns (e.g., which tools, templates, and workflows are utilized)
Lab result processing metrics, including auto-match success rates and manual correction frequency
Inspection outcome metrics, including pass/fail rates of lab results and XRF readings
Report generation metrics (e.g., number of reports generated, report types, revision frequency)
Error rates, crash logs, and technical performance data
Device type, operating system, browser, and connectivity information
Login frequency, session duration, and general navigation patterns
d. Communications Data
If you contact us for support or provide feedback, we may collect the content of those communications along with associated metadata.
2. How We Use Information
a. Platform Operations
We use the information we collect to:
Operate, maintain, and deliver the Platform and its features
Process and facilitate the generation of inspection reports
Provide customer support and respond to inquiries
Authenticate users and manage account access
Process billing and payments
b. Platform Improvement and Product Development
We use aggregated and anonymized usage data to:
Analyze platform performance and identify areas for improvement
Understand feature adoption, usage patterns, and user workflows
Identify common data-entry patterns to improve auto-population and suggested-content features
Evaluate and improve lab-result auto-matching accuracy and processing efficiency
Optimize report templates, formatting, and generation workflows
Prioritize new feature development and product roadmap decisions
Conduct internal research and analysis to better serve the inspection industry
c. Industry Analytics and Benchmarking
We may use aggregated, de-identified data to produce industry-level analytics and benchmarking insights, such as:
Regional or national trends in inspection outcomes and lab result patterns
Average inspection durations, report completion times, and workflow efficiency metrics
Platform-wide auto-match accuracy rates and processing performance
General market and usage trends relevant to the lead-based paint inspection industry
Important: Any data used for industry analytics or benchmarking is fully aggregated and de-identified. It cannot be used to identify any individual User, property, property owner, tenant, or specific inspection.
d. What We Do Not Do With Your Data
We do not:
Review, audit, or evaluate the accuracy or quality of individual inspection findings or reports
Alter, modify, or interfere with User reports
Make independent professional determinations or judgments based on User data
Sell, rent, or license individual inspection data or identifiable User data to any third party
Use individual inspection data for marketing or advertising purposes
3. Ownership of Report Data
Users retain full ownership of all inspection data entered into the Platform and all reports generated through the Platform. PbPilot does not claim any ownership interest in User-generated inspection reports or underlying inspection data.
By using the Platform, the User grants PbPilot a limited, non-exclusive, royalty-free, fully sublicensable license to process, store, and transmit User data solely as necessary to operate the Platform and to use aggregated, de-identified derivatives of such data for the purposes described in Section 2 of this Privacy Policy. This license survives termination solely with respect to data that has already been aggregated and de-identified prior to termination.
4. Data Sharing
We may share information only under the following circumstances:
Legal Requirements: As required by applicable law, regulation, legal process, or governmental request.
Service Providers: With trusted third-party service providers who perform services on our behalf (e.g., cloud hosting, payment processing, analytics), subject to confidentiality obligations and data-processing agreements.
Aggregated and De-Identified Data: In aggregated, anonymized form that cannot reasonably be used to identify any individual User, property, or inspection.
Business Transfers: In connection with a merger, acquisition, reorganization, or sale of assets, provided that the successor entity agrees to be bound by the terms of this Privacy Policy.
With Consent: With your explicit consent for any purpose not described in this Privacy Policy.
5. Data Security
We implement reasonable and appropriate administrative, technical, and organizational safeguards designed to protect the confidentiality, integrity, and availability of User data. These measures include, but are not limited to, encryption of data in transit and at rest, access controls, regular security assessments, and incident-response procedures.
However, no method of electronic transmission or storage is completely secure. While we strive to protect your data, we cannot guarantee absolute security. Use of the Platform is at the User’s own risk, and the User acknowledges that no security measures are impenetrable.
6. Data Retention
We retain User data as follows:
Active Accounts: Data is retained for the duration of the User’s active subscription and for a reasonable period thereafter to facilitate account reactivation and data export.
Post-Termination: Upon account termination, the User may request export of their data for a period of sixty (60) days. After this period, individual User data will be deleted or anonymized in accordance with our data-retention schedule, except as required by law.
Aggregated Data: Aggregated, de-identified data derived from platform usage may be retained indefinitely for analytics, benchmarking, and product-improvement purposes.
Legal Obligations: Data may be retained beyond standard retention periods where required by applicable law, regulation, or legal proceeding.
7. User Rights and Responsibilities
a. User Rights
Subject to applicable law, Users may:
Request access to the personal data we hold about them
Request correction of inaccurate personal data
Request deletion of personal data, subject to our retention obligations
Export inspection data and reports during the active subscription period and for sixty (60) days following termination
b. User Responsibilities
Users are responsible for:
Ensuring that their use of the Platform complies with all applicable laws, regulations, and professional licensing requirements
Maintaining the security of their account credentials
Obtaining any necessary consents for the collection and processing of data entered into the Platform, including any data related to third parties (e.g., property owners, tenants)
Ensuring that reports generated through the Platform meet all applicable government reporting and filing standards
8. Third-Party Services
The Platform may integrate with or contain links to third-party services (e.g., laboratory portals, payment processors). This Privacy Policy does not apply to any third-party services, and we are not responsible for the privacy practices of such third parties. We encourage you to review the privacy policies of any third-party services you access through the Platform.
9. Children’s Privacy
The Platform is not directed to individuals under the age of eighteen (18). We do not knowingly collect personal information from children. If we learn that we have collected personal information from a child, we will take steps to delete such information promptly.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, the Platform, or applicable law. Material changes will be communicated via email or in-platform notification at least thirty (30) days before taking effect. Continued use of the Platform after the effective date of a revised Privacy Policy constitutes acceptance of the updated policy.
